If you are participating in this year’s X-Men Remix, please read this post! We want to make sure everyone sees it and knows what is going on.
We finally got an answer about what is going on with matching. Unfortunately, AO3 made some changes to the way matching works earlier this year, and the new system is incompatible with the hand matching we have already done. Long story short, they can’t fix it.
What does this mean for you guys? Not too much. There are just going to be a couple extra steps to posting your remixes this year, plus we had to change some of the way we approach things behind the scenes.
The assignment you already received is still your assignment.
It will not be changing, but you will not receive an “official” AO3 email with your assignment.
If you did not receive your assignment from xmenremix13mods@gmail.com, please contact us ASAP so we can tell you who you are assigned to.
Since we cannot send out assignments through AO3, there will be no “official” assignment page on AO3.
There will also be no little box to check when you go to post your remix, so you will have to manually include the collection name + your recipient’s name when you post your remix to AO3.
To include the collection name: either go here and click “Post to Collection,” or post normally and type xmen_remix16 in the area that says “Post to Collections/Challenges.”
To gift your remix to your recipient, go to the section that says “Gift this work to” and type their username.
If you need to default, please email us.
Since there are no “official” assignment page this year, there is also no “official” default button. If you have to default, we ask that you email us at xmenremix13mods@gmail.com, or send us an ask. You do not need to give a reason for defaulting, and you will still receive a remix if you default.
If you do not contact us about defaulting, but have not turned in a remix by the due date, we will consider you as having silently defaulted, and send your assignment out to a pinch hitter.
Your remix must be complete in rough draft when you submit it to the collection.
We’re sorry to have to do this, since we usually pretend not to notice people turning in incomplete remixes and finishing them after the deadline, but with everything else we have to keep track of this year, we don’t need this to be the year that we find an incomplete remix two hours before the collection is supposed to open.
It is totally fine if your remix is a little rough around the edges when you post it, but no matter how much you intend to edit it before the collection goes live, it must have a beginning, a middle, and an end (if it’s a fic), or must look like something (if it’s art), and must not have placeholder text etc. In order to enforce this, we will be moderating submissions this year. Remixes that are complete and have no other issues will be approved; those that are incomplete or misspell the recipient’s name or something will sit in limbo while we email you about fixing it. If you submit an incomplete remix at the deadline, we will consider that a default, and send your assignment out to a pinch hitter.
As stated every year, there will be no extensions, so please don’t ask.

Here is the complete text of their final email to me:
Hi, Unforgotten,
I'm sorry to tell you that I don't have good news. We figured out the issue with your matching: earlier this year, we implemented a fix that introduced a cap of matching users of 50 or 10% of the participants in a collection, with a floor on the cap of 10 in the case of very tiny collections (like yours). This means that, even if every user could technically match all of the others, the Matching code randomly selected 10 of them in the list, and considered that everyone else didn't meet the same requirements.
This limit was put in place so that matching can actually run without losing the connection to the database, which is great for mods who want to use our matching system, but means that AO3 is not currently set up to allow mods to set wide-open settings, and just manually match everyone.
Unfortunately, because this is an important part of our stability net for challenges, there is no workaround. Since you have already sent assignments manually, I’m afraid my best suggestion would be for you to have users add their works to a collection, rather than a challenge, and gift them to their intended recipient.
This is definitely something that would have been in our documentation if it had been up to date. We're letting the AO3 Documentation team know so they can add it to our FAQs as soon as possible. We deeply apologize for the inconvenience.
